We are seeking a dedicated professional to provide essential administrative and operational support, playing a vital role in the success of a team focused on developing engaging digital experiences. You will be at the heart of daily operations, ensuring that leaders and teams have the resources and support needed to thrive. This is a full-time, 40‑hour per week opportunity with a strong potential for extension, offering a chance for long‑term engagement and growth. Key Responsibilities Executive Support: Provide proactive, high‑quality administrative support to executive leaders, managing communications and acting as a liaison with internal and external stakeholders. Maintain confidentiality of highly sensitive information and support leadership effectiveness through strong prioritization and execution. Calendar Management: Own complex executive calendars, scheduling across various time zones, and planning recurring business rhythms. Travel Coordination: Plan domestic and international travel, including itineraries, approvals, and changes, ensuring seamless logistics. Expense Management: Prepare accurate expense reports, ensure policy compliance, and reconcile with finance. Meeting & Event Coordination: Coordinate recurring meetings, including agenda development, material preparation, and follow‑ups. Support special projects such as offsites, team events, facilities coordination, merchandise orders, special engagement sessions, and product launches. Operational Support: Track budgets, support headcount management, and assist with recruiting activities. Team Logistics: Coordinate team meetings, communications, and engagement activities. Manage onboarding and offboarding logistics, access, and transitions for employees. Productivity Enhancement: Leverage AI‑powered productivity tools to improve workflow efficiency, including meeting preparation, summaries, drafting communications, and automation. Required Skills & Experience Proven experience providing high‑quality administrative support to executive leaders. Demonstrated ability to manage complex calendars and schedule across multiple time zones. Experience coordinating domestic and international travel. Proficiency in preparing and reconciling expense reports. Strong organizational skills with the ability to manage multiple priorities and maintain a high degree of confidentiality. Proficiency in enterprise productivity suite components, spreadsheet software, and presentation software. Experience leveraging AI‑powered productivity tools for enhanced workflow and efficiency. Nice‑to‑Have Qualifications Experience with travel coordination and expense reporting. A passion for the interactive entertainment industry.
