Executive Assistant - Role Overview The Executive Assistant serves as a strategic partner and trusted advisor to our executive leadership team. This person thrives in fast‑paced, high‑growth environments and brings a sophisticated understanding of executive operations, team leadership, and organizational dynamics. As the Executive Assistant to the CEO, you will set the standard for executive support excellence, manage a team of Executive Assistants, and serve as the operational backbone for our C‑suite. This is a high‑impact role for someone who excels at both strategic thinking and flawless execution. This role is based in Austin, TX and will require an in‑office presence of three, sometimes four days a week. Primary Responsibilities - What You’ll Do Executive Support & Partnership: Serve as a strategic partner and trusted advisor to the CEO, proactively anticipating needs and exercising sound judgment. Balance the CEO’s personal demands with business priorities to protect their time and ensure focus on the highest‑impact activities. Maintain strict confidentiality around all sensitive financial, strategic, and organizational information. Calendar & Schedule Management: Own and manage the CEO’s calendar, independently prioritizing and making trade‑offs between competing demands based on strategic business priorities. Gate access and filter meeting requests, coordinate cross‑executive calendars to ensure leadership alignment, and proactively resolve scheduling conflicts with minimal executive involvement. Communication & Correspondence: Screen and triage all incoming correspondence, knowing when to flag, route to the appropriate member of the Executive team, or prepare for the CEO’s review. Play an active role in planning and drafting both internal and external communications from the Office of the CEO, and serve as liaison between the CEO, Executive Leadership Team, Senior Leadership Team, and key internal and external stakeholders. Meeting Management & Preparation: Prioritize and coordinate meeting requests with internal and external stakeholders, managing all logistics end‑to‑end. Proactively prepare comprehensive briefing materials, agendas, and talking points, including compiling relevant background from past meetings. Attend select meetings to capture decisions, action items, and key discussions, then own follow‑up and drive accountability across stakeholders. Travel & Logistics: Manage complex, multi‑city travel itineraries optimized for time and efficiency, anticipating all related needs including visa requirements, ground transportation, accommodations, and on‑the‑ground logistics. Own full expense management including reconciliation, coding, and timely submission. Events & Offsites: Take the lead on planning and organizing internal corporate events, offsites, and conference travel for both small and large groups of executives, including venue sourcing, contract negotiation, travel and accommodation arrangements, and agenda coordination. Contact Management & CRM: Accurately create and maintain a CRM for all of the CEO’s contact information, ensuring records are current and comprehensive. Organizational Partnership & Operations: Navigate company resources, build cross‑functional relationships, and interface with various departments to collect information, respond to requests, and obtain services on the CEO’s behalf. Serve as a subject matter expert on policies and procedures, accelerate approvals and requests in a timely manner, and proactively solve problems by anticipating needs before they arise. Qualifications & Skills - What We’re Looking For The right person loves this work and takes genuine pride in the craft of executive support. You are a proven, trusted professional who brings confidence, discretion, and high emotional intelligence to everything you do. Required Qualifications A Minimum of 5 years executive assistant experience supporting a C‑suite leader, with direct experience at the CEO level strongly preferred Experience managing or mentoring other administrative or EA staff Exceptional emotional intelligence, the ability to read a room, manage relationships across levels, and communicate with clarity and care Strong written communication skills, including the ability to draft internal communications, briefings, and correspondence that represent the Office of the CEO with accuracy and appropriate tone Proven discretion and confidentiality, you do not share what you know, and people trust you instinctively High comfort with ambiguity and a solution‑oriented mindset, you bring options, not just problems Proficiency with calendar and scheduling platforms (Google Workspace or Microsoft 365), CRM tools, and expense management software AI/technology savvy Ability to work in‑office a minimum of three days per week in Austin, TX What Will Set You Apart You have supported a CEO or founder in a high‑growth, fast‑moving environment and understand the pace and stakes that come with it You are known for your horsepower, you move fast, retain information, and execute with precision You build trust quickly by demonstrating loyalty, good judgment, and the confidence to offer candid, constructive feedback You are equally comfortable drafting a company‑wide internal note and quietly managing a scheduling conflict before anyone notices it existed Experience in entertainment, media, or a creative industry is a plus, but not required Salary & Benefits Salary: $90,000 - $110,000 Benefits, FSA, 401k, plus participation in the management equity pool Equal Employment Opportunity Statement The Wonder Project, Inc. is an equal employment opportunity employer.
